Catering
You are welcome to work with any one of the caterers on our Approved Vendor List. Your caterer will provide your service and bar staff, and be responsible for setting tables. Coleman Place provides set-up of all of your tables, chairs, linens, buffet and bar, and will manage the space through the course of your event.
Bar
You may provide your own bar beverages at Coleman Place. A bartender, hired through your caterer, is required for all events where alcohol is served. If mixed drinks are served, a Limited Special Occasion Permit from the North Carolina Alcoholic Beverage Control Commission is required. Monroe or Julie must sign off on the permit application before it is submitted to the state. If your caterer has an off-premise liquor license, a copy of such may be provided to Coleman Place in lieu of the Special Occasion Permit. No permit is necessary to serve beer, wine or champagne.
What May Be Rented From Coleman Place?
Tables, chairs, linen, silverware, glassware and china. A $1.50 surcharge will be assessed per person for any outside china or glassware used. Clients are welcome to substitute silverware, glassware and china with disposables provided by the caterer or client.
Does Coleman Place Provide Any Decor Items?
Our decor package is $350, and includes a large assortment of candlelight, live green plants and decorative items. The $350 also includes décor set-up.
What Vendors Do You Recommend?
After you visit us and tour Coleman Place, we will give you a password to our webpage listing all of our favorite vendors (Florists, Cake Bakers, Etc.)
When Does the Hourly Rate Begin?
The hourly building rate is charged from the time that you, your first guest or vendor arrives in the space (usually your caterer) until your, your caterer or last guests has left for the evening. If you need additional set up time earlier in the day (for floral design, extensive décor work, etc.) the building can be made available for a reduced charge of $60 per hour.
What is Coleman Place Responsible For?
Coleman Place takes care of the set up of all the tables, chairs, linens, bar and buffet tables, coffee display, and any of our décor items rented. These items will be set-up and in place when your caterer arrives. The caterer will set table place settings, and is responsible for washing and putting away all of the china, silverware and glassware. At the end of the event, the caterer will clean the kitchen and remove trash and recycling from the building. Coleman Place will take care of breaking down all the tables, chairs and linens, and is responsible for cleaning the building aside from the kitchen.
Should We Have Insurance?
Although it is not required by Coleman Place, it is a good idea to secure liability insurance for your event, especially if you have guests drinking. Because Coleman Place does not provide any alcohol, the host is legally responsible for drinking guests. Check your homeowner's insurance policy to find out if you are covered for an event away from your home. You may purchase liability or event insurance at www.wedsafe.com.
May We Have Candles Inside?
Any lit candles inside the building must be contained by glass. We take care of encasing the candles we provide in our decor package in votive holders.
What Additional Fees Apply?
Caterers, Florists and Cake Bakers pay a 10% commission to Coleman Place based on their total invoice, minus tax and service, with the client.
What Type of Payment Does Coleman Place Accept?
Visa, Mastercard, Discover, American Express, personal check (if paid at least one week in advance of payment due date), money order, cashiers check, and good old-fashioned cash.
How Do We Book a Date?
A signed Contract, Release and Indemnity, Rules sheet, and completed Credit Card authorization, along with a 50% deposit (based on estimate total) holds a date. We request the Information Sheet be submitted as well, with a photo of the clients for our file. The photo helps keep our clients familiar.
What is the Cancellation Policy?
The booking deposit is non-refundable. However, if event is canceled outside of five weeks of the event date, the remainder due is waived. If event is canceled within five weeks of booked date, remaining estimate balance is due at cancellation. To protect your deposit, we recommend obtaining event insurance. One resource for event insurance is www.wedsafe.com
Is There a Time Limit?
There is no time limit; you may continue to have a great time as long as you wish. Any time used beyond the estimated number of hours on your estimate will be billed after the event at your hourly building rate.
